7 Reasons You Need a Day-Of Coordinator for your Wedding

Tips from a Fort Lauderdale Wedding Coordinator

Congratulations on your engagement and the start of your beautiful lives together. If you’re considering a destination wedding - Florida is a great place to tie the knot, as it’s filled with breathtaking beaches, lush garden spaces, luxury hotels, and historic buildings. Planning a wedding can also be a lot of work with all the options to choose from - picking out the cake, sourcing the right venue, meal arrangement, wedding songs, and compiling the guest list.

As a South Florida-based Event Planner and Wedding Coordinator, I completely understand how overwhelming it can get. This is why I always recommend including a Day-of Coordinator in your wedding budget and your wedding plans. Your Coordinator can make all the difference between feeling exhausted and overwhelmed at the end of your event or being able to relax and enjoy every moment with your loved ones. This guide provides just a few reasons why having a Day-Of Coordinator for your wedding is worth the investment:

Peace of Mind

Let’s be real for a second - planning a wedding is not always a walk in the park. It can be a stressful experience. Even on the wedding day when all the pieces are moving, it doesn’t get easier. This is where you have the opportunity to make the planning process seamless by securing a Day-of or Month-of Coordinator and well in advance - for eg; my most recent couple booked coordination services in March of 2025 for their Fort Lauderdale wedding in November of 2026.

The primary role of your Day-Of Coordinator is to take—majority—if not all the stress off your shoulders leading up to and on the wedding day. From managing vendors, guests, and timelines, we oversee all the details, big and small, making sure the decor is set up correctly, the seating arrangement is as planned, and the ceremony proceeds on-time. That way you don’t have to worry about guests and vendors, just simply enjoying your wedding.

Stress-free Experience for Your Guests

You also need a Day-Of Coordinator to help take care of your guests. If a guest cannot find their way around the venue, your Coordinator ensures everyone is seated at the right time and at the correct place. We create a stress-free experience for guests, ensuring that all guests are treated well and catered to, and facilitating a smooth transition between different events or venues without delays.

Timeline Manager

Having worked side by side with you in the final weeks leading up to your big day, your Day-of Coordinator guarantees that the entire event stays on schedule. From ushering the guests into the ceremony, photography, food, and the reception - our presence is a big step towards making sure that everything happens when it’s supposed to. Our roles include building the entire wedding timeline, distributing it to your key wedding vendors and managing the wedding timeline—day-of. That way, you don’t have to worry about running behind schedule or not having enough time to enjoy a particular part of your timeline. Your Day-of Coordinator is present so you can be present. Vendor Coordination

As we discussed, you Day-Of Coordinator is usually brought in early to help manage your vendor relationships and to get better aligned with everyone’s assigned roles and responsibilities. We also have experience coordinating with wedding vendors and can recognize any potential issues quickly, a skill gained from working multiple events.

On your wedding day, your coordinator is usually the first vendor to arrive and is responsible for checking in vendors and be their guide on setup locations, and other logistics. In the event of any issues, your Day-of Coordinator can rely on their knowledge and expertise to quickly offer a solution. This means you won’t be getting calls from vendors during your makeup session asking to make last-minute clarifications—your Day-Of Coordinator will take care of that.

Make Your Dream Wedding a Reality

Maybe you grew up imagining what your big day would look like, a Day-Of Coordinator can help bring your wedding vision to life. Share exactly how you would like them to manage your event, and they’ll take it from there. Whether that’s ensuring your flowers are set up how you like them or that the food is plated like you discussed with your wedding caterer.

Your coordinator also stays by your side on your wedding day, listening, and making last-minute changes, as needed. It could be a change as small as rearranging the flowers. Just say the word, and we get it done.

Problem Solving is Easier

Imagine a best man getting drunk or the dress of a Maid of Honor getting ripped. Your coordinator can manage all unexpected issues. A kid having a tantrum during your first dance? A Day-of Coordinator is trained to handle problems like these - big or small - that might arise on your wedding day. Here at Urbanica, we like to call our team “Damage Controllers”, we show up to your wedding with an emergency kit, stocked and prepped for any hiccup we may encounter. With years of wedding coordination experience, we are familiar with everything that could go wrong, and have what it takes to fix it.

Elevate your Wedding Experience

The role of a Day-Of Coordinator can never be overemphasized when you desire a seamless and stress-free wedding. Imagine telling the story of your special day, and saying you had nothing to worry about? No one made a scene and emergencies were handled without your knowledge or involvement.

Day-Of Coordination for your South Florida Wedding

Having a Day-of Coordinator goes beyond having someone to watch your back, and ensure everything goes as planned—it’s also about being present and enjoying your wedding day with the stress of logistics. Your Coordinator makes all the difference between feeling overwhelmed at the end of your event and being able to relax and enjoy every moment with your loved ones.
